Table A – Content Management System (CMS) Website design & business level hosting
Prices in table A include: Website Design cost – paid off over 36 months( applies to payment option 2); Monthly hosting – payable every month; Database monthly rental; Business level hosting package. Additional products and pages will be quoted and charged extra or you can upload them yourself for free after the training session. In order to avoid scope creep, we can only allow a maximum of 1 free change/update per page after the initial page has been published. Once the site has been handed over, clients will be able to make unlimited modifications themselves however. Please thus ensure that the information initially supplied is the latest version of the information (text and pictures) that you would like published to your website.
**New or transferred domains only. Existing or parked domains will need to be transferred (no transfer costs) in order to qualify for e-mail addresses. Note that your site will require an active domain (web address). You could use an existing domain, a parked domain if you have one, or register a new .co.za address for only R 150.00 / year. Additional addresses are available at R 35 / month / address.
Out of package work or requests will be quoted on and charged at our standard rates of R 270 / hour, however, please feel free to make suggestions or requests as these will be assessed on a case by case basis and it may be that these could be included at no charge.
Variable costs: (Applies to less than 2% of our clients)
- Only if your site’s size exceeds the server space allocation, a rate of 79c / Mb / month applies. This variable cost can be avoided altogether by simply optimizing all photographs uploaded and deleting old or redundant content from the website and your e-mail inbox & sent folders.

This offer includes a powerful and popular software product that offers many configuration and expansion options. Please note that there may only be limited opportunities to customise the design of the shopping cart look & feel. Typically only the background, colour theme, certain fonts, logo and headings can be customized. Note that neither package allows for coding of any sort which if specified by the client will be quoted on before any additional out of package work is done.

R 189.00 per month X 36 months for the monthly hosting without secure certificates or secure server hosting. (If upgrading the original hosting fee falls away and replaced by this one.) Our SHOPPING CART offer is based on our Business Basic package above and the shopping cart standard features include:

Extras / Options and Things to consider:

- Design of additional advertisements for the front page – The off the shelf system only allows 2 rotating advertisements to be active at any one time – You may want 3 sets of 2 each promoting seasonal products – R 270 / hour – Allow approx 1 hour per advertisement. The first advertisement is included in our package.
- Ongoing maintenance e.g. changing prices, or uploading specials R 270 / hour or 4 hours for R 1000.00 or you can do this yourself for free with some training
- You would be responsible for paying the monthly access to your bank’s payment gateway (between R 800 – R 1500 / month depending who you bank with if this option is activated) or free if you select one of the local payment gateways not affiliated to any bank.
- You would be responsible for paying the annual security certificate to Thwate or Verisign – should this option be required. Should you require a full customised template (skin), this will require the services of a coder/developer costing between R 450 – R 600 / hour and a completed, fully custom designed job can cost hundreds or a few thousand of dollars US. – Not necessary if we use the off-the shelf product.

In order to ensure that things run smoothly on both ends, I have put together a summary of the steps required to publish your website. Over the next few weeks you will embark on the exciting journey of creating a website for your business.
Step 1 – Defining the scope, the agreement & your domain name
The first step ensures all relevant documentation is processed, defines the scope of our offering as well as the agreement and addresses critical issues such as the correct spelling of your domain name (www address) to be registered. It is important to note that once registered, this cannot be altered without significant expense so it’s important to get it right the first time round. We will guide and assist you throughout the entire process.
As discussed, the agreement in Pdf format is attached herewith. If you have opted to pay off the design element of your site over a 36 month period, please be aware of the termination conditions (Clause 5). We would appreciate it if you could print, verify, sign and return this document to us via fax 086 541 4360 or via e-mail to info@webdesignservice.co.za after which we will secure a Linux hosting package, database and if required, one or more domain names for your website.
Please thus complete, sign and return sections:
- Debit Order Mandate
- Domain Registration Document and
- Web Agreement
The registration and database creation process can take between 1 – 2 weeks to complete, after which your site will be live but not yet indexed by search engines such as Google, Yahoo, Bing or AltaVista. This means you cannot find your site through a Google search, only by typing in the exact address in the address bar.
Step 2 – Initial design and content for your site
While we wait for the registration process, we will create a theme for your website i.e. the look & feel based on our consultations with you and rely quite heavily on your existing company stationary, logo and advertising designs for inspiration. We thus require you to supply us with electronic copies of your logo, brochures, digital photographs (.jpeg format) as well as detail of any products and services you would like to highlight on your site.
We prefer that you send all text (copy) in plain Microsoft Word documents with any accompanying photographs (in their original jpeg formats) to be e-mailed as attachments.
In order to direct the design process, we also ask that you provide the addresses of 3 or 4 websites that you like or dislike. This will give us a feel for your preferences and most importantly, save us designing a template you don’t like.
If included in your package, we also create your unique e-mail addresses and send you login/password and access details at this point.
Step 3 – Refining your site
The powerful systems used on our sites allow us to separate the content from the design enabling us to work on both independently of each other. This speeds up the whole process allowing us to finalise the look & feel in consultation with you, whilst simultaneously uploading content, text, pictures etc.
Step 4 – Ensuring your prospective customers can find your business online
When most of the content has been uploaded to your site, the site submission process will begin where we inform the top three search engines of the existence of your site thus enabling their “robotic spiders” to index your content. At this point we also register your business on Google Maps and activate other free services included in your package.
Step 5 – Site finalisation, hand over & training session
Finally, once you are happy with the look & feel as well as the content, your website is handed over i.e. we grant the designated person in your company access to the site’s backend enabling him/her to edit approx 80% of the site. It’s important to note that certain sensitive sections of the site affecting the database, and the design templates are locked out so as to protect the integrity of your site. It is at this point that we will schedule a telephonic training session with the designated person.
Step 6 – 30 day free support
For a period of 30 days after the site hand over, the designated custodian of your site is entitled to free support and assistance.
